KBPA Facility Engagement Director – Contract Position

Background Information

The Kootenay Boundary Physicians Association (KBPA, www.kbpa.ca) is the Medical Staff Association for approximately 100 Specialty and Family Practice physicians of the Kootenay Boundary Regional Hospital (KBRH). The KBPA receives funding from the Doctors of BC, Facility Engagement Initiative (FE) (www.facilityengagement.ca)

Trail is the home to Kootenay Boundary Regional Hospital (KBRH), a 75-bed, full service regional facility, the largest diagnostic and acute care hospital serving 80,000 people in the Kootenay Boundary region; Trail, Rossland, Castlegar, Fruitvale, Montrose, Warfield, Rossland, Nelson, Grand Forks, New Denver, and Nakusp. KBRH also serves as the regional hospital for the Kootenay Boundary, which encompasses Creston and Nelson to the east, Kaslo and Nakusp to the north, and Grand Forks and Rock Creek to the west.

Key Responsibilities & Duties

●  Lead and develop a small team of Project Coordinators and administrative staff, including hiring and managing short term contract staff on an as needed basis.

●  Lead and develop operational plans to meet the strategic objectives of the organization.

●  Provide oversight of Association’s staff for projects/initiatives, analyses of data, budgets, research, and advising on complex issues;

●  Ongoing acquisition of information through formal and informal channels to provide strategic insight and direction to the organization based on the needs of the membership. Examples include

o Health sector meetings and workshops
o Relationship building with physicians and other stakeholders o Relationships with sister organizations

●  Collaborate with other local healthcare organizations to strategically address regional challenges

●  Coordinates and/ or attends meetings of the Association (Board, FE Working Group), meetings between the Association (or representatives of the Association) and the Health Authority Representatives, and Medical Staff events;

Other Responsibilities and Duties

● Assists with the ongoing maintenance of governance and operational structures and processes in alignment with the provincial Facility Engagement Initiative and Society’s Act;

● Provide direct support to the Association in developing effective engagement processes and lines of communication amongst the medical staff and health authority;

●  Provides direct support to the legal firm for maintenance of records for meetings and decisions of the Association and of directors;

●  Prepares documentation and reports as required by the provincial Facility Engagement Initiative on the activities and projects of the Association;

●  Communicates with and amongst the Association members, directors and others, as required to follow up on action items and develop strategies to address issues;

●  Provides direct support to Communications staff for all print, electronic and website materials.

●  Provides oversight and support to Admin staff and accounting firm for financial resources in accordance with reporting and financial accountability requirements of the stakeholders;

●  Facilitates the administration of Association’s staff contracts and agreements with local structures and other resources as required;

●  Liaises with the Association’s Engagement Partner and staff of other Doctors of BC initiatives in Kootenay Boundary on matters related to the operations, projects and programs of the Association, as appropriate; and

●  Carries out other “Contractor Services” as required.

Skills & Qualifications

Preferred Education, Training and Experience

●  Degree in health or business discipline, or a similar combination of education and experience in a related field

●  Recent and related experience with organizational management, oversight to a portfolio of projects, and relationship-based change work is preferred

●  Project and budget management experience

Preferred Skills and Abilities

●  Ability to communicate effectively, both verbally and in writing.

●  Ability to support and motivate a team of project coordinators/ managers, admin assistant and physician leaders.

●  Strong change management and stakeholder engagement skills.

●  A natural curiosity and ability to listen and synthesize information quickly and creatively.

●  Ability to use Microsoft Office Suite of tools for collection and presentation of information.

●  Understanding of the needs of, and natural ability to establish rapport with, health care professionals esp. physicians, and health authority staff.

●  Highly self-directed and independent, but able to work as part of a collaborative team.

●  Great interpersonal skills and ability to work collaboratively with all personality types.

●  Proven ability to plan, coordinate, and inspire positive change.

●  Demonstrated ability to organize work, set objectives, establish priorities, and manage time and resources to “get stuff done”.

●  Ability to work well under pressure, either related to deadlines or unforeseen circumstances.

●  Knowledge and understanding of facility-based care settings and the health care system.

●  Must be willing and able to travel: a valid driver’s license required and access to a car preferred. Evening meetings are frequently required.

Contract Period & Compensation

This is a one-year contract position with a need for some flexibility as demands of the role will fluctuate from week to week and over time. This contract work is based in Trail, BC at KBRH and is estimated at 10-15 hours per week.

Contract Rate will be commensurate with qualifications & experience.
